Responsly exports every survey response to a Microsoft Excel spreadsheet in real time. Each submission adds a new row — scores in number columns, text in text columns, metadata in date columns. The file lives in OneDrive or SharePoint, accessible from desktop Excel, Excel Online, and mobile.

For teams where the final analysis always ends up in a spreadsheet anyway, this integration eliminates the export step entirely. Pivot tables, formulas, charts, and dashboards work on live data that updates with every submission.

The case for Excel as the analysis destination

Survey tools have built-in dashboards. They show aggregates, charts, and summary statistics. For a quick pulse check, they work. But the moment you need analysis that the dashboard doesn’t support — cross-referencing with external data, building custom scoring models, formatting reports for a specific stakeholder — you end up exporting to Excel anyway.

The export workflow looks like this: log into the survey tool, select a date range, click export, wait for the download, open the file, format the columns, and build the analysis. Repeat every time you need fresh data.

Building a live NPS tracking workbook

A company running quarterly NPS surveys built a workbook that replaced their old report-compilation process.

Sheet 1: Raw Data — every NPS survey response lands here. Columns: date, respondent email, company name, segment (enterprise/mid-market/SMB), NPS score, follow-up comment, and survey wave (Q1/Q2/Q3/Q4).

Sheet 2: Pivot Analysis — a pivot table breaks NPS into:

Scenario: A company runs three surveys: post-onboarding CSAT (Sheet “Onboarding”), quarterly NPS (Sheet “NPS”), and annual satisfaction survey (Sheet “Annual”). Each feeds its own worksheet.

  1. Load each sheet as a Power Query source.
  2. Append all three into a single “All Feedback” query with a column identifying the survey source.
  3. Add calculated columns: satisfaction tier (promoter/passive/detractor), quarter, year, and customer segment (looked up from a reference table).
  4. Output the combined table to a “Combined Analysis” sheet.

Analysis enabled:

  • Cross-survey correlation: do customers with high onboarding CSAT also give high NPS later? (Yes, r=0.67 in one company’s data.)
  • Lifecycle satisfaction curve: plot average satisfaction by months-since-onboarding across all survey types. The typical curve shows a honeymoon peak at month 1, a dip at month 3-6, and a recovery at month 12.
  • Volume normalization: compare response counts across surveys to identify where feedback coverage gaps exist.

Support quality tracking with agent-level analysis

A 40-person support team routes post-resolution CSAT surveys to an Excel workbook. The analysis reveals patterns invisible in the survey tool’s built-in dashboard.

Agent performance matrix:

A pivot table shows average CSAT per agent, per month. Conditional formatting highlights:

  • Agents consistently above 4.5 (green) — these are the team’s best practices role models.
  • Agents below 3.5 for two consecutive months (red) — these need coaching or workload adjustment.

Employee survey analysis with department drill-downs

HR teams using Excel for pulse survey analysis get flexibility that dedicated pulse tools often lack.

Department-level pivot table:

  • Rows: department and team.
  • Values: average engagement score, average workload satisfaction, count of open-ended suggestions.
  • Conditional formatting: departments scoring below the company average are highlighted.

Question-level breakdown:

  • Which specific question drives the most variance between departments? Often it’s “I feel supported by my manager” — the single question with the widest department-to-department spread.

Anonymous analysis approach:

  • Raw data includes department and team but no individual identifiers. Pivot tables never drill below the team level. Results are shared with managers at the department level, not the individual level. This preserves anonymity while enabling structural analysis.

Trend tracking:

  • A dedicated sheet tracks each department’s engagement score over time. A formula calculates month-over-month change. Departments with three consecutive months of decline trigger an HR review.

Practices for Excel survey data

Use Excel Tables, not raw ranges. Tables auto-expand when new rows arrive. Pivot tables referencing Tables update their source range automatically. Formulas using structured references (e.g., =AVERAGE(Table1[NPS_Score])) adapt to new data without manual adjustment.

Separate raw data from analysis. The data sheet receives rows from Responsly. Analysis sheets (pivots, charts, summaries) reference the data sheet but are never modified by the integration. This prevents formatting conflicts and keeps the source clean.

Name your columns clearly. nps_score is better than q1_answer. Descriptive column names make pivot table field lists readable and reduce errors when multiple people work in the same workbook.

Set up conditional formatting on data columns immediately. Red/yellow/green color scales on score columns make scanning hundreds of rows fast. New rows inherit the formatting automatically.

Connect Power BI for organization-wide dashboards. Excel handles team-level analysis well. For executive dashboards shared across departments, connect Power BI to the same OneDrive file. The data flows from Responsly → Excel → Power BI without duplication.

Excel Online Integration FAQ

Where is the Excel file stored?

The spreadsheet lives in OneDrive or SharePoint — accessible from Excel Online, desktop Excel, and the mobile app. Choose an existing file or let Responsly create one during setup.

Can I use pivot tables on live survey data?

Yes. Convert the data range to an Excel Table (Ctrl+T) and build pivot tables referencing it. When new rows arrive, refreshing the pivot picks up the latest data. Power Query connections refresh automatically.

Does this work with Power BI?

Yes. Connect Power BI to the OneDrive or SharePoint file. Survey data flows Responsly → Excel → Power BI with automatic refresh. No manual export step.

Can multiple surveys export to the same workbook?

Yes. Different surveys can target different worksheets within the same Excel workbook. Use Power Query to combine them into a unified analysis table.

Is there a row limit?

Excel supports over one million rows per worksheet. For high-volume surveys, this is not a practical limitation. If you approach tens of thousands of rows, consider archiving older data to maintain spreadsheet performance.

Can I share the spreadsheet with people who don't have Responsly access?

Yes. The spreadsheet lives in OneDrive/SharePoint and can be shared with anyone via standard Microsoft sharing — view-only or edit access. They see live data without needing a Responsly account.

What happens if the spreadsheet file is renamed or moved?

The integration connects to the file by its OneDrive/SharePoint identifier, not by file name or path. Renaming or moving the file within the same drive does not break the connection.

Can I apply conditional formatting that updates with new data?

Yes. Apply conditional formatting rules to the data columns (e.g., red for NPS 0-6, green for 9-10). As new rows arrive, the formatting applies automatically to every new response.
